How Donations Work
How are chapters notified of donations?
- If a donor gives a donation to Threshold Choir online and dedicates it to your chapter, you will automatically receive a dedication notification email (Please note: you will not see the donation amount because the donation has been given to Threshold Choir).
- If a donor gives a restricted gift to your chapter online, or mails a check donation for your chapter, the office will add the money to your virtual account and will notify the chapter leader of the donation by email within two business days.
How to request information about your virtual account.
- Email [email protected] to request an account balance or inquire about donations for your chapter.
How to request reimbursement or payment from your virtual account.
- Complete this form on the website: https://thresholdchoir.org/webform/reimbursement-form/
- If you’re unable to complete the website form, email your request to [email protected]. The email should include the name and mailing address of the person being reimbursed, the payment amount, the name of the chapter, and a copy of the receipt.
- Reimbursement checks are printed and mailed every other Tuesday.
What to do if you receive a check donation.
- All checks should be made payable to: Threshold Choir
- Mail checks to: Threshold Choir – P.O. Box 8496 – Santa Rosa, CA 95407
- If the check donation is a restricted gift to a chapter, the donor must write the name of the chapter on the memo line of the check, or include a note clearly stating the name of the chapter that they are donating to.
What to do if you receive a cash donation.
- Cash donations should be deposited at a Bank of America branch.
- The Bank of America account number is: 325198351113
- After the deposit is complete, email the donation amount and donation date to [email protected]. Please also let us know if the donation is for Threshold Choir in general, or specifically for your chapter.
- If the donation is for your chapter, we will verify the deposit online, then add the money to the chapter’s virtual account.
- If the donor wants a tax receipt for the cash donation, please provide the donor’s name and mailing address when emailing [email protected].
If you are unable to deposit cash at a Bank of America branch, it is advisable to inform potential donors that cash contributions cannot be accepted for the following reasons:
- It is not safe to mail cash to the Threshold Choir home office, and USPS strongly discourages it.
- If you accept a cash donation and write a check in the same amount to Threshold Choir, acting as an intermediary for donations may create challenges for both yourself and the cash donors:
- For recipients: The IRS may misconstrue cash received as personal income, which can result in an audit.
- For donors: Cash contributions do not satisfy IRS documentation requirements, and donors may forfeit eligibility for a tax deduction.
Tax Deduction Considerations:
- Only the individual or entity whose name appears on the check is eligible to claim a tax deduction for the contribution.
- Threshold Choir cannot issue a tax receipt for cash donations unless the funds are deposited into our Bank of America account and donor contact information is provided to the office.
- Original cash contributors are not eligible for a charitable contribution deduction, as they will lack the necessary documentation from Threshold Choir.
- It is prohibited to inform initial cash donors that their contributions are tax-deductible when funds are given indirectly. Donations must be made directly to Threshold Choir to qualify.
Recommended Fundraising Practices:
When collecting cash for donation purposes, consider the following approaches to ensure clarity and compliance:
- Treat contributions as gifts: Advise contributors that their cash is being gifted to you, and you will subsequently make a donation in your own name. Such gifts are not tax-deductible for the contributors.
- Encourage individual donations: Request that each person donate online or write their own check directly to Threshold Choir. This ensures transparency, allows each donor to maintain proper records, and preserves their opportunity to claim any applicable deductions.
